ADMINISTRATIVE ASSISTANT


Job Type:
Part-Time (Hourly)

Hours: No less than 20 hours per week with flexible schedule

Wage: $18.00 - $20.00 per hour (based on experience)


Job Summary:

The Happy Valley Sports & Entertainment Alliance is seeking a motivated and detail-oriented Administrative Assistant to join our team. This position will play a crucial role in ensuring smooth communication and coordination with the board of directors, managing financial records using QuickBooks, and providing general office support. The ideal candidate will be organized, proactive, and capable of handling multiple tasks efficiently. 


Key Responsibilities:
 

  • Board of Directors Support 

    • Serve as the primary point of contact for the board of directors. 

    • Schedule and coordinate board meetings, including preparing agendas, meeting materials, and taking minutes. 

    • Assist in the communication and follow-up of board actions and initiatives. 

  • Financial Administration: 

    • Maintain accurate financial records using QuickBooks. 

    • Assist in preparing and processing invoices, expense reports, and financial statements. 

    • Monitor and reconcile bank statements. 


General Office Support:
 

  • Answer phone calls, emails, and other communications, directing them to the appropriate personnel. 

  • Manage office supplies and ensure the office is well-organized and presentable. 

  • Assist in the planning and execution of events and special projects. 


Administrative Tasks:
 

  • Prepare and edit correspondence, reports, and presentations. 

  • Maintain and update files, records, and databases. 

  • Perform other administrative duties as assigned to support the efficient operation of the office. 


Qualifications:
 

  • High school diploma or equivalent; associate's degree or higher preferred. 

  • Proven experience in an administrative role, preferably within a non-profit or sports and entertainment environment.  

  • Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 

  • Strong organizational and time-management skills. 

  • Excellent verbal and written communication skills. 

  • Ability to work independently and as part of a team. 

  • High level of discretion and confidentiality. 


Working Conditions:
 

  • Part-time position with flexible hours. 

  • Office environment with occasional evening or weekend meetings/events.
